Most email platforms report 'delivery rate', the percentage of emails that don't bounce. But delivery rate and inbox placement rate are not the same thing, and confusing them is one of the most common errors in outbound email programs.

The gap between these two figures, approximately 15 percentage points, represents emails that were technically delivered to the server but routed to spam or promotions folders. This is email that your tracking shows as delivered but that your prospect will almost certainly never see.

For a campaign sending 10,000 emails:

In February 2024, Google formalized its spam complaint rate threshold for bulk senders:

The 2024 Gmail/Yahoo Requirements

The Authentication Trinity

SPF (Sender Policy Framework) A DNS record that specifies which mail servers are authorized to send email on behalf of your domain. Without it, receiving servers can't verify that email claiming to be from your domain actually is from your domain, a major spam signal.

Why warm-up matters: Inbox providers build reputation profiles on sending domains and email addresses over time. A new domain with no sending history that suddenly sends 500 emails/day is indistinguishable from a spam operation, because spam operations do exactly that.

Warm-up approach:

  • Start with low daily volume (20–50 emails/day for a new inbox)
  • Gradually increase over 4–8 weeks
  • Send to engaged recipients during warm-up (people who will open and reply)

Dedicated Sending Domains vs. Primary Domain

Sophisticated outbound programs use dedicated sending domains, separate domains configured specifically for cold outreach, rather than sending from the company's primary domain.

Dedicated sending domains should:

  • Be closely related to the primary domain (variation of the same brand)
