What is Email Validation?

The process of verifying that an email address is valid, properly formatted, and able to receive messages before sending.

What is Email Validation?

Email validation is the process of verifying that an email address is real, properly formatted, and capable of receiving messages. This happens before you send any campaign emails, preventing bounces, protecting sender reputation, and ensuring your outreach reaches actual recipients.

Validation is different from verification, validation checks format and deliverability, while verification typically confirms the identity of the mailbox owner. For outbound purposes, validation is what matters most.

Why Email Validation Matters for Outbound

Sending to invalid email addresses is the fastest way to destroy your sender reputation. A single campaign with a 5%+ bounce rate can trigger spam filtering that takes weeks to recover from. Pre-send validation catches these bad addresses before they cause damage.

Industry data shows that B2B email databases decay at 22-30% per year as people change jobs, companies merge, and domains expire. Without regular validation, your list quality deteriorates rapidly.

Validation Levels

  • Syntax check: Is the address properly formatted (name@domain.com)?
  • Domain check: Does the domain exist and have MX records?
  • SMTP check: Does the mail server accept connections and recognize the address?
  • Mailbox check: Can the server confirm the specific mailbox exists? (Not possible for catch-all domains)
  • Risk assessment: Is this a disposable, role-based, or known spam trap address?

Common Mistakes

  • Skipping validation entirely: The most expensive mistake in outbound, the cost of damaged reputation far exceeds validation tool costs
  • Single-provider validation: No single provider catches everything, use waterfall validation with 2-3 providers
  • Validating once and never again: Email addresses go stale, re-validate contacts older than 90 days
  • Ignoring "risky" results: Addresses flagged as "risky" or "unknown" should be sent to with caution, not full volume
  • Not validating on import: Every new list should be validated before it enters your system

How FlowStrata Validates Emails

FlowStrata uses waterfall email validation across multiple providers (ZeroBounce, MillionVerifier, Reoon) to achieve 98%+ validation accuracy. We validate every contact before campaign launch, re-validate aging contacts quarterly, and flag catch-all and risky addresses for low-volume test sending. Our multi-provider approach catches invalid addresses that any single provider might miss.
